Important information

Meetings in the Birmingham Area on the morning of the Big Event

If you have any work related activities scheduled in the Birmingham area for the morning of the Big Event (20 January) that will incur expenses, please have these pre-approved by your Regional Director / Head of Department and the Conference committee prior to expenses being incurred.

Exceptions To The Above Rules

Only in exceptional circumstances should there be any exceptions to the above rules.

Regional Directors and Head of Departments: All exceptions must be emailed to bigevent25@travelodge.co.uk by 18th December. The additional costs will need approval from the conference committee before money can be spent.

Transport

In most cases Travelodge will be providing transport to and from Birmingham for the Big Event. If you choose to make your own way, fuel/transport costs will not be reimbursed. On the day of the Big Event coaches will be provided to and from the ICC and your designated hotel.

Car parking

If transport has been provided to Birmingham and you have chosen to drive, you will need to pay for parking - it will not be reimbursed by Travelodge. For those who have not been allocated transport to Birmingham car parking can be expensed for the day and night of the Big Event.

Coaches (Birmingham)

We have organised coaches to take you from the ICC back to your hotel to get ready for the evening event. They will then return you in time for the champagne reception and dinner.

There will be timetables available in your hotels and displayed on a number of screens within the ICC, with information on pickup and drop off times.

Making sure 1000 people can stay in Birmingham on the night of the event can be challenging for the organisers. Rest assured, we try, where possible, to keep teams in the same hotel. We ask for your support in reading and adhering to the comments in this section carefully.

The business will provide accommodation for colleagues staying on the night of the Big Event (20 January).

If you choose to stay the night before the Big Event this will be a cost to yourself and will not be reimbursed by Travelodge.

NB: If you make a personal decision to stay the night before, we can’t guarantee that your hotel on the night of the event will be the same. That means you may have to move hotels.

Please help us by:

  • Not contacting Revenue for F&F rooms, as they will be unable to help you
  • Not contacting the conference organisers asking which hotel you have been allocated; this will be confirmed to you as soon as possible via the App after Registration closes

We will communicate accommodation details with Area Operations Managers and heads of departments once registration has come to a close.

Light breakfast and refreshments will be provided at the ICC - 10:45-11:15 - Hall 3.

Lunch will be provided at the ICC - 13:00-14:00 - Hall 3.

Evening meal will be provided at the ICC - 20:00-22:00 - Hall 3.

Alcohol claims are not permitted for any employee - at any time - during the Big Event or the evening event. This includes for reward & recognition purposes.

Day time conference

It is a relaxed occasion. We want you to feel comfortable, this event is for you!

Evening dress code

Travelodge began in 1985, and 2025 marks our 40th year. As it’s our anniversary, wear what you want, though an 80s vibe is welcome

The evening event will take place in Hall 3.

Table numbers will also be displayed on TV screens around the entrance to Hall 3 before entering for the evening.

We’re excited to celebrate together at the Big Event, where we can relax, connect, and enjoy the evening.

Whilst we want everyone to unwind and celebrate, please remember this is a work event, and your conduct should reflect our Travelodge behaviours. Comments and actions meant as a joke, or simply in the spirit of having fun may not always be received that way.

So let's create an enjoyable and respectful experience for everyone, and if you choose to drink alcohol, know your limits and ensure your enjoyment does not negatively impact the experience of others or the reputation of Travelodge.
